Time a few instances of the task manually using a timer, or ask the team members who do it regularly. Include setup time (opening the right tools, logging in, finding files) not just active execution time. If the time varies significantly, use the average or the 75th percentile for a conservative estimate.

Any task that follows the same basic steps each time it is done, regardless of who does it. Classic examples: pulling weekly reports, entering data from one system to another, sending recurring status emails, processing invoices, checking inventory levels, routing support tickets, preparing presentations from data, reconciling spreadsheets.

The score combines task frequency (more frequent = higher priority), time per occurrence (longer = more savings potential), and volume of people affected. Tasks that happen daily with many people doing them score highest. The score reflects both the value of automating and the feasibility given typical task types.

You can screenshot the results or use your browser's Print to PDF function to save them. For a shareable version, the results table contains all the data you need. Start with your top 5-10 most time-consuming repetitive tasks. Once you see the cumulative impact in the summary, you may be surprised. Most businesses find 3-5 tasks that account for 70-80% of wasted time. These are your automation priorities. Adding more tasks gives a more complete picture but rarely changes the top priorities.
